1) About OneSDH

OneSDH is a school-operations platform that brings lesson planning (RPH), timetabling, duty management, student attendance, referral/intake forms, and staff messaging together in one system for schools and institutions.

2) Information We Collect
  • Account information: full name, username, email address, phone number, position/role, and login-related data needed to operate the service.
  • School and institution information: school/institution profile, classes, staff roles, and settings configured by the school.
  • Operational content: lesson plans, subject library items, timetables, duty schedules and reports, individual learning reports (LPI), attendance records, referral/intake form submissions, and verification outcomes.
  • Connected services and messages: information you submit via the Contact form, staff messages, and tokens needed to connect optional services you enable (such as Google Drive sync or push notifications).
  • Technical information: logs and diagnostics required for reliability and security.
  • Traffic and security analytics: IP address, browser or device information, approximate location if enabled, pages visited, session timing, referrers, and suspicious access signals such as failed logins, scanner probes, or abnormal request rates.
3) Student Data

If your school workflow includes student name selection, attendance, or referral/intake forms, the system may store student names and related records as part of lesson, attendance, or intake content (depending on enabled features). We recommend that users avoid entering unnecessary personal data.

4) How We Use Information
  • Provide and maintain the system (accounts, lesson planning, timetabling, duty and attendance management, intake forms, submission, and verification).
  • Support school operations (workflows, reporting, status tracking, and institutional referrals).
  • Communicate with users for account, support, and notification purposes.
  • Improve performance, reliability, and security.
  • Detect abuse, troubleshoot platform issues, understand which pages are used, and protect owner/admin areas from unauthorized access.
5) AI Features

AI suggestions are optional. When you use AI, your prompt and relevant context may be sent to an AI provider to generate suggestions. Do not include personal data in prompts. AI output may be inaccurate and must be reviewed by the teacher before use.

6) Sharing of Information

We do not sell personal information. We may share limited information only when necessary to operate the service (for example email delivery, cloud storage you connect, or AI providers if AI is used) or to comply with legal requirements.

7) Cookies and Storage

We use essential session and security mechanisms to keep accounts secure and the service functional. Some preferences (such as language) may be stored in your browser.

Operational analytics may use the existing session to group page views into visits. We do not use this to sell personal information.

8) Data Retention

We retain information as long as it is needed to provide the service and support school operations. Retention may also be required for administrative, legal, or security reasons.

Raw analytics records are intended to be retained for a limited operational window, with IP addresses retained only as long as needed for security and troubleshooting.

9) Security

We apply reasonable safeguards to protect information. However, no online service can guarantee absolute security.
